Workflow file size bug or feature?

The Workflow feature isn't working as we assume it should. Perhaps there's another way to use this feature, or a different feature for us? I don't see too many posts with replies here, so I hope I'm not shouting in the dark, so if you have any information, I'd really appreciate some help.

We are able to initiate a workflow by previewing a video file (by clicking on it from the directory).
Then in the preview (the next window) we click "initiate approval". Which takes us to citrixworkflows.sharefile.com/workflows/new...... Where the process of creating a workflow, adding users, get approval etc. all works! The file we've initiated here in many cases can be 500mb or more, so we're handling some good data with the workflow.

HOWEVER. This is where it breaks.
When the feedback is gathered and we attempt to close the first round of the workflow we are met with a problem.

We have the option to close this round of feedback and add the new version (the one with the changes applied based on the feedback, presumably).

But when we click the button on the top right, "new version" and use the browse function to link the new version we are denied with the message:
"the file [FILENAME] is too large, 20MiB max"

But hold on a second, the new version we're trying to connect is already uploaded in ShareFile, and yes it's bigger than 20MiB. But the original file was also bigger than 20MiB.

So the system DOES allow bigger files, but we're blocked from using this core feature in this case?


On further investigation, we are denied the workflow feature if we start a new workflow from here:

And using the same browse function to find the same file here. The same denial message is warning us the file is too large (20MiB max). But if you follow the path from the file preview, you are allowed do start the workflow with the same file.


Ideal outcome here:
Remove the 20Mib filesize limit. Let us use the workflow for the files we have in the system!

Hi Matthew,

Thanks for reaching out! We are currently aware of a situation where initiating a workflow from within a ShareFile folder can by-pass the file size limit check. PDF files should be limited to 100 MB, while all other files are limited to 20 MB. I hope this information helps.

Any chance we can remove the limit altogether?

Or is there a better product for reviewing video?

I agree with Matthew.  This file size limit needs to be much higher.  We go from being able to upload a 100GB file in a shared folder, to only being able to upload non-PDF files that are up to 20MB in the workflow area?  Doesn't make sense to me (or our clients).
